Client Services Agreement
This agreement applies when you engage Meratech LLC, a Pennsylvania limited liability company doing business as Mera Journey for paid planning or concierge services. It supplements our Terms of Use and Travel Disclaimer.

Parties
This Client Services Agreement ("Agreement") is between Meratech LLC, a Pennsylvania limited liability company doing business as Mera Journey ("Advisor"), and you ("Client"). By paying a planning fee, signing a proposal, or instructing us to begin work, you accept this Agreement.
Scope of services
Advisor provides travel planning and coordination services, which may include:
- Itinerary design and operator recommendations
- Introductions to licensed local operators Advisor has worked with
- Logistics coordination (permits, hotels, internal transfers) as agreed in writing
- Pre-departure briefing and WhatsApp support during travel when included
Advisor does not act as a tour operator unless explicitly stated. Client contracts directly with third-party providers for most travel services.
Fees and payment
Planning fees, scope, and deliverables are stated in your proposal or invoice before work begins. Planning fees compensate Advisor for professional time and expertise; they do not include operator, airline, hotel, or permit costs unless itemized.
Advisor may receive commissions or referral fees from operators. When applicable, this is disclosed to Client before booking. Client authorizes Advisor to coordinate payments to third parties only as agreed in writing.
Client responsibilities
- Provide accurate information (dates, fitness, medical constraints, passport names)
- Obtain valid passports, visas, and vaccinations required for travel
- Maintain comprehensive travel insurance, including medical evacuation for trekking and expedition itineraries unless Advisor waives in writing
- Review and accept third-party operator terms before confirming bookings
- Make payments to operators and suppliers according to their schedules
Cancellations and changes
Planning fees are non-refundable once custom work has begun, except as stated in your proposal. Operator, airline, and hotel cancellations are governed by those suppliers' policies; Advisor will advocate for flexibility but cannot guarantee refunds from third parties.
Material itinerary changes requested after approval may incur additional planning time and fees.
Assumption of risk
Client understands that adventure travel, including trekking, mountaineering, safari, and travel in remote areas, involves inherent risks (altitude illness, weather, injury, political disruption, etc.). Client voluntarily assumes these risks. See the Travel Disclaimer for full detail.
Insurance
Client agrees to purchase adequate travel medical insurance and, for high-altitude or expedition travel, emergency evacuation coverage. Advisor may require proof of insurance before finalizing certain itineraries.
Advisor does not currently maintain errors-and-omissions (E&O) insurance. Client acknowledges this and agrees that Client's own travel insurance is their primary protection against trip disruption and medical events.
Limitation of liability
Advisor is not liable for injury, death, loss, or damage caused by third-party operators, weather, civil unrest, or Client's own actions. Advisor's liability is limited to the planning fees paid for the specific trip giving rise to the claim, except where prohibited by law.
Independent relationship
Advisor is an independent consultant, not an employee or agent of Client. Nothing in this Agreement creates a partnership or joint venture.
Governing law
This Agreement is governed by Pennsylvania law. Exclusive venue lies in Pennsylvania courts, unless mandatory consumer protection laws in Client's home state provide otherwise.
Entire agreement
This Agreement, your written proposal, the Terms of Use, Privacy Policy, and Travel Disclaimer constitute the entire agreement. Amendments must be in writing signed by both parties.
